About the Role

This role provides high‑level, confidential support to the Executive Manager within a directorate responsible for frontline operations across parks, gardens, transport networks and disaster management. As Personal Assistant, you’ll be central to keeping the Executive Manager’s office running smoothly and efficiently.

You’ll be the first point of contact for all internal and external stakeholders, managing priorities, coordinating information and ensuring clear, professional communication. This is a trusted role requiring discretion, sound judgement and the confidence to operate in a fast‑paced, operational environment.

  • Providing high‑level, confidential executive support and building strong relationships across Council and with external stakeholders.
  • Supporting the smooth operation of the Directorate and the Executive Manager’s participation in leadership and governance forums.
  • Coordinating councillor, ELT and stakeholder liaison and managing executive correspondence.
  • Proactively managing the Executive Manager’s diary, emails and approvals.
  • Coordinating meetings, events and stakeholder engagements, including agendas, minutes and follow‑up actions.
  • Administering financial and procurement processes while upholding the highest standards of integrity and professionalism.

About you

We’re looking for a highly organised and professional executive support specialist who enjoys being a trusted partner to senior leaders. You’ll bring strong communication skills, excellent attention to detail and the ability to manage competing priorities with discretion and confidence.

You’ll be proactive, adaptable and comfortable working across a wide range of stakeholders, with a genuine interest in supporting work that makes a real difference to community safety, liveability and resilience.

  • Relevant tertiary qualification and/or solid experience in executive or senior administrative support
  • Strong relationship‑building and customer service skills
  • Exceptional organisation and time‑management capability
  • Clear, professional written and verbal communication
  • Confident use of Microsoft Office and corporate systems
  • Current C Class driver’s licence
